Practical AI for small businesses

Put AI to work. Or learn to use it well.

Suncoast AI Lab helps small businesses put AI to work on one useful job at a time, and teaches owners and their teams to use it well.

Most owners don't need another app. They need the missed call returned and the overdue invoice chased every week. We pick one of those jobs with you, build it on the software you already pay for, and keep someone on your team approving anything before it reaches a customer.

Where we start

The jobs that slip when you're busy

These are the weekly jobs that most often slip in a small business. Each makes a good first project: it happens every week, the rules are clear, and you can tell within a month whether it's working.

  • Missed callsYou're with a customer, the phone rings, and the caller tries the next company on Google.
  • Slow replies to web inquiriesThe contact form lands in an inbox and waits until someone is free.
  • An inbox nobody ownsCustomer, vendor and junk email arrive in one pile, and the important messages get buried.
  • Overdue invoicesNobody enjoys chasing money, so the reminder goes out at 60 days instead of 7.
  • Quotes written from scratchEach proposal starts from a blank page or a copy of last year's file.
  • Notes that never become tasksThe client meeting goes well, and the follow-up items live in someone's head.

Ways to work with the Lab

If you're not sure where to begin, start with the audit.

AI Workflow Audit

For owners who know something should change but aren't sure what to tackle first.

  • A 90-minute working session on video
  • A review of how calls, email, scheduling and billing actually move through the business
  • A written plan ranking the workflows worth automating, and the ones to leave alone
  • Tool recommendations that start with what you already pay for
Timeline
About one week

Done-With-You Workflow Build

For a business that has chosen its first workflow and wants it built properly.

  • The four-phase engagement described below
  • Built in your accounts, so you own it
  • Approval step switched on from day one
  • Tested on your real past cases before go-live
  • A plain-English runbook and a 30-day check-in
Timeline
Usually 3 to 4 weeks

Team AI Workshop

For teams already using AI informally who need shared ground rules and better habits.

  • A half-day online session, laptops open, using your team's real work
  • A one-page AI use policy written for your business
  • Prompt templates for the tasks your staff repeat every week
Timeline
Half day, plus a prep call

The One-Workflow Engagement

This is the process behind every build. It's deliberately narrow. One workflow done properly teaches a business more about AI than a dozen experiments.

  1. Week 1

    Map

We sit down with the people who do the work today and document each step of the current process: how often it happens, where it stalls, and what a miss costs.

You get Workflow Plan. One page covering the job, the tools involved, who approves, and the single number we'll use to judge success.

  2. Weeks 2 to 3

    Build

We set up the workflow in your accounts, connect only the systems it needs, and write the instructions the AI works from using your prices, policies and tone of voice.

You get The working workflow, plus an Access Sheet listing exactly what it can read, write and send.

  3. Week 3

    Prove

We run it against real cases from the last few months with approval switched on. We review every output with you and fix problems before a customer sees anything.

You get Test log with results, and a go-live decision we make together.

  4. Week 4

    Hand off

Your team learns to run it, approve drafts and spot trouble. We write the runbook in plain English so it doesn't depend on one person.

You get Runbook, team walkthrough, and a 30-day review against the success number.

Timelines are typical for a single workflow. We confirm them in the Workflow Plan.

Point of view

How the Lab thinks about AI for small business

Five rules we hold every project to, whatever the industry.

  1. Start with one workflow, not a strategy.

A strategy document doesn't answer the phone. One workflow that runs every day builds trust in the tools and shows you what to do next.

  2. A person approves before anything reaches a customer.

AI gets things wrong, and it can sound sure of itself when it does. Drafts go to a person first. We relax that only after the results have earned it, and some workflows should never run unattended.

  3. Use the software you already pay for.

Google Workspace, Microsoft 365, your CRM and your accounting system already cover most of what a small business needs. A new subscription comes last, and only when a specific job calls for it.

  4. Measure hours saved, or don't bother.

Before we build anything, we write down one number, such as calls returned within an hour or days to get paid. If it doesn't move, we change the workflow or switch it off.

  5. Sometimes the answer isn't AI.

A saved reply, a booking link or a rule in your CRM is often enough. When that's the case we'll say so, and it will cost you less.

Frequently asked questions

What does the Lab do for a small business?

The Lab finds the one or two jobs in your week where AI will save real time, builds them on the tools you already use, and teaches your team to run them. You end up with a working workflow and the documentation to keep it going.

Do you need to be technical to work with the Lab?

No. If you can use email and a phone, you can run what we build. The Lab handles the setup. You decide what the AI is allowed to do.

What if the AI gives a customer a wrong answer?

That's the right thing to worry about, and it's why everything the Lab builds starts with a person approving drafts. We also test on your real past cases before go-live, so mistakes show up in testing instead of in front of a customer.

Is customer data safe?

We use business accounts with data controls, connect only what each workflow needs, and write down what the AI can and can't access. Health records, card numbers and similar data stay out unless your vendor contract covers them.

Which AI tools does the Lab use?

Whatever fits the business. Usually that means starting with Google Workspace or Microsoft 365, adding ChatGPT, Claude or Gemini, and using Zapier, Make or n8n where two systems need to talk to each other.

Do you work with businesses outside Florida?

Yes. We work remotely with businesses anywhere in the US. Calls and workshops run over video, and the setup happens inside your own accounts.
